(English version for international readers will follow the Japanese content)

1. can の代わりに could を

まずは、許可を得るための表現から始めましょう。

can の代わりに could を使いましょう。May も使います。"Can I..." より改まった表現の "May I...? と "Could I..." を使います。

普段、上司と何かについて話したいときは、ちょっとした話だったら次のような表現がネイティブによく使われます。

"May I talk to you for a moment?" 「ちょっとだけお話しできますか。」
"Could I have a quick word with you?"「ちょっとだけお話しできますか。」

もう少し込み入った相談をしたいのなら、上司に時間を割いてもらえるように、はっきり希望を言いましょう。クライアントさんなどにも使えます。

"Could we arrange a meeting to discuss my recent evaluation?" 「私の最近の評価について話し合う時間を頂けますか?」

詳細をメールでいただけますか、というフレーズにもこの could を使いましょう。
"Could you possibly send me the details by email?"「恐れ入りますがメールで詳細をいただけますでしょうか。」

2. 依頼や提案などをするには would も

依頼や提案などをするには would も使います。

"Would you be able to tell us more about the merger?"「合併に関してもう少し詳しくご説明いただけますか。」

他に依頼をするには "would" を "be able to" と一緒にも使います。

"Would you be able to tell us more about the merger?"「合併に関してもう少し詳しくご説明いただけますか。」

もう一つの普通の依頼の表現は "Would you mind (if)...?" です。

"Would you mind if left an hour early tomorrow?"「明日1時間早く上がらせていただけますでしょうか。」

この質問の答え方に十分気を付けましょう。"Would you mind?" は直訳して「あなたは気にしますか。」というような意味なので、その依頼に承諾すれば正確の答えは "No" すなわち "No, I don't mind" 「いえ、気にしないよ」です。つまり、"No" は 「大丈夫」という意味です。

もっと簡単な答え方もあります。例えば "Not at all", "Sure", "No problem"など。承諾しない場合はその理由や説明をもらえることでしょう。例えば:

"I'm afraid we're too busy tomorrow."「残念ながら明日は忙しすぎてムリだね...」

3. 「~したい」は "would like to" で

「~したい」という表現として "Do you want..." や "I want to" はちょっとダイレクトなので、少し丁寧に言いましょう。

"We would like to hold another meeting with the director."「御社ディレクター様ともう一度ミーティングをさせて頂きたいです。」
"Would you like to see some samples of the product?"「商品の見本をご覧になりますか。」

4. 自分から話題を変えるときは?

そのほか、目上の人と話していて、自分から話題を変えるときには "I'd like to discuss..." や "Allow me to..." を使いましょう。

"Allow me to present the sales figures from the last quarter."「直前四半期の販売数量を発表させて頂きます。」

最後に、ミーティングや相談などが終わったら感謝を表すのを忘れないでください。感謝の表現をは覚えてしまいましょう。
"Thank you for your time."「お時間をいただきありがとうございました。」
"Thank you. I appreciate your help."「ありがとうございました。お力添えに感謝します。」

これで上司やクライアントとのビジネス英語も完璧です!

Talking With Superiors

When speaking to a superior, what is the most appropriate language to use? There is quite a noticeable difference in how this is done between English and Japanese. While English has polite language, it doesn't really have the complex respectful language that is essential in Japanese business culture. Plus, in many cases there is little difference in language and word choice when employees speak to their superiors. But, we do have polite phrases that make things such as requests and proposals more appropriate.

We'll start by asking for permission. Instead of using "Can I...?", we use the more formal variants are "May I...?" and "Could I...?". Let's say you'd like to talk with your superior about something. If it is more of a brief talk, then you can make use of the following phrases:
"May I talk to you for a moment?" 「ちょっとだけお話しできますか。」
"Could I have a quick word with you?"「ちょっとだけお話しできますか。」
If you need to discuss something more in detail, however, it would be best to arrange something more concrete. This style can also be used to request meetings with other people such as clients.
"Could we arrange a meeting to discuss XXX?" 「XXXについて話し合うお時間を頂きたいのですが。」

Now it's time to make a request to your boss, so let's phrase it appropriately. The phrases "Can I...", "Can you...", etc. are common when requesting something, and you may hear coworkers saying this to their boss also. However, instead of "can", the more polite word is "could". Optionally, the word "possibly" is also included for further politeness.
"Could you possibly send me the details by email?"「恐れ入りますがメールで詳細をいただけますでしょうか。」
"Would" is also similarly used with "be able to" to make requests and suggestions.
"Would you be able to tell us more about the merger?"「合併に関してもう少し詳しくご説明いただけますか。」

Another common way to request something is "Would you mind (if)...?"
"Would you mind if left an hour early tomorrow?"「明日1時間早く上がらせていただけますでしょうか。」
Be careful about how this type of question is answered. "Would you mind?" translates to "Does it inconvenience you?", so when giving permission, the appropriate answer is "No", i.e. "No, I don't mind". There are other common ways to answer, however, including "Not at all", "Sure", "No problem", etc. Besides, if your request is being turned down, you will probably hear an explanation instead, e.g.
"I'm afraid we're too busy tomorrow."「残念ながら明日は忙しすぎてムリだね...」

When making an offer, "Do you want...?" is a bit too direct and is better used for friends, etc. The polite expression is "Would you like...?".
"Would you like to see some samples of the product?"「商品の見本をご覧になりますか。」
Similarly, seeking permission or approval with "I want to..." can sound too demanding. Instead, let's say "I would like to..." (also abbreviated to "I'd like to").
"We would like to hold another meeting with the director."「御社ディレクター様ともう一度ミーティングをさせて頂きたいです。」

Now that you are talking with your superior, you need some good phrases to introduce your topics and ease into the conversation. Let's start with key ones like "I'd like to discuss..." and "Allow me to..."
"I'd like to discuss the feedback you gave me before." 「先にいただいたフィードバックについてお話をさせていただきます。」
"Allow me to present the sales figures from the last quarter."「直前四半期の販売数量を発表させて頂きます。」

Finally, don't forget to show your appreciation to your superior at the end of your talk. Here are some solid phrases.
"Thank you for your time."「お時間をいただきありがとうございました。」
"Thank you. I appreciate your help."「ありがとうございました。お力添えに感謝します。」
